How to configure and use the Monsido Accessibility feature

This article gives instructions on how to set up and use the Monsido Accessibility feature.

Introduction

The Monsido Web Accessibility feature helps you make your website compliant with WCAG 2.0, 2.1 & 2.2 A, AA, and AAA guidelines.

Web accessibility is the concept that websites and website content must be accessible to anyone, regardless of how they use the internet. Websites must give a way for people with disabilities such as visual, auditory, physical, speech, cognitive, language, learning, and neurological to access the information. Some examples of other ways to use the internet are:

  • Screen readers

  • Adaptive technology (such as eye-tracking)

  • Audio-based such as verbal transcripts

  • Subtitles for audio content.

Compliance is shown for the following:

Page compliance = percentage of checks that the page is compliant in.
Domain compliance = Average page compliance in this domain.

The four principles of web accessibility for website content as specified in W3C are:

  • "Perceivable - Information and user interface components must be presentable to users in ways they can perceive.

    This means that users must be able to perceive the information being presented (it can't be invisible to all of their senses).

  • Operable - User interface components and navigation must be operable.

    This means that users must be able to operate the interface (the interface cannot require interaction that a user cannot perform).

  • Understandable - Information and the operation of the user interface must be understandable.

    This means that users must be able to understand the information as well as the operation of the user interface (the content or operation cannot be beyond their understanding).

  • Robust - Content must be robust enough that it can be interpreted reliably by a wide variety of user agents, including assistive technologies.

    This means that users must be able to access the content as technologies advance (as technologies and user agents evolve, the content should remain accessible).

If any of these are not true, users with disabilities will not be able to use the Web.”

This tool gives suggestions and tips on how you can make your website better for visitors with a disability by improving their ability to perceive, understand, contribute, navigate, and interact with it.

Priority, Severity, and Difficulty

Monsido calculates the prioritization of errors, as well as the severity and difficulty level of issues.

Setup

How to configure the Accessibility module.

  1. Click Admin Settings (gear icon) on the top menu bar of any page in Monsido. The Domain Settings page opens.

    Note: The Admin Settings button is only available to site admins.

  2. Click Action on the same row as the domain to scan

  3. Select Edit Domain from the drop-down list.

    The Edit Domain pane, for this action click the Features tab at the top of the pane or scroll down the page to the Features section.

  4. In the Features section, click on the Accessibility field and select the accessibility level that is necessary for the website.

    The default setting is WCAG 2.1 (Level AA). The selection includes:

    • WCAG 2.0 (Level A)

    • WCAG 2.0 (Level AA)

    • WCAG 2.0 (Level AAA)

    • WCAG 2.1 (Level A)

    • WCAG 2.1 (Level AA)

    • WCAG 2.1 (Level AAA)

    • WCAG 2.2 (Level A)

    • WCAG 2.2 (Level AA)

    • WCAG 2.2 (Level AAA).

    Note: Section 508 is now fully aligned with WCAG 2.0 AA. Monsido has transferred existing users of the check to WCAG 2.0 AA.

    Important! If/when you change the WCAG accessibility level, the existing Accessibility Score scan information is erased and the new standard starts over from the beginning with the next scan. All of the history is lost. It is advised to activate a new level only when you are ready to make the updates needed, or if it becomes a legal requirement for your location/organization.

    Note: Level AA of WCAG 2.1 is the legal requirement to be considered accessible. WCAG 2.2 is newly released and will soon be the standard, taking over from WCAG 2.1.

WCAG Compliance

Below is a short definition of the compliance levels. Call or write to your legal department to find out the accessibility level that is necessary for the website. This will make sure that it complies with regional requirements or areas of business.

Compliance is shown for the following:

Page compliance = percentage of checks that the page is compliant in.
Domain compliance = Average page compliance in this domain.

WCAG 2.0 (Level A): This is the minimum level of conformance. The web page satisfies all of the Level A Success Criteria, or a conforming alternate version is provided.

WCAG 2.1 (Level A): The same as WCAG 2.0 Level A, with more explanations and support material.

WCAG 2.2 (Level A):

The lowest level of conformance and the easiest to achieve. It allows for websites to be broadly accessible as it addresses the most basic access issues.

WCAG 2.0 (Level AA): The Web page satisfies all of the Level A and Level AA Success Criteria, or a Level AA conforming alternate version is provided.

This check also encompasses Section 508.

WCAG 2.1 (Level AA): The same as WCAG 2.0 Level AA, with more explanations and support material.

WCAG 2.2 (Level AA):

The most often used standard for legislation such as the Accessibility for Ontarians Act (AODA) and Section 508.

WCAG 2.0 (Level AAA): The Web page satisfies all of the Level A, Level AA, and Level AAA Success Criteria, or a Level AAA conforming alternate version is provided.

WCAG 2.1 (Level AAA): The same as WCAG 2.0 Level AAA, with more explanations and support material.

WCAG 2.2 (Level AAA):
The highest level of conformance and the most difficult to achieve. It is not often used as a recommendation since it is not feasible for most websites to have the resources to meet this level.

To edit the accessibility level for PDF document scans, click the new accessibility level. The default setting is WCAG 2.0.

  • WCAG 2.0

  • WCAG 2.1

  • WCAG 2.2.

PDF Accessibility

How to set the accessibility level for PDF document scans:

Click to select the necessary accessibility level for PDF scans. The default setting is WCAG 2.0:

  • WCAG 2.0

  • WCAG 2.1

  • WCAG 2.2.

Request PDF Remediation Quote

If any PDF files require remediation, this can be requested from within the Monsido platform. Monsido delivers the remediated documents and accessibility reports when they are ready. To include the PDF scanning tool, upgrade your account with Monsido Support.

  1. Perform an accessibility scan as per the previous section.

  2. Click PDF, from the menu on the left.

  3. Select Internal to locate the non-compliant PDF files.

  4. Click Action on the same row as a non-compliant PDF.

  5. Select Start PDF Accessibility Scan from the expanded menu.

  6. On the same row as a non-compliant PDF, click to select Remediation Quote. This submits an order for remediation of issues that require attention in the PDF. This service is provided by a third party.

  7. A dialog box opens with the following text:

    "Document remediation for compliance to WCAG 2.1 AA, Section 508, HHS or PDF/UA accessibility standards. Document remediation requires manual verification and can range in cost. When you submit PDF documents for remediation, we will review the document and give you a firm, fixed price for the remediation. Upon completion of the work, we will also provide a compliance report. We will let you know if there is any Alternative Text (Alt-Text) required for images that are not self-descriptive or any related additional information needed to remediate the document."

  8. Click OK to confirm.

  9. Commonlook sends the remediated PDFs to the provided email when they are finished.

  10. Remove the old PDFs from the website and upload the remediated PDFs.

  11. Change the status of the PDFs manually to Mark as reviewed. This moves the files to the Reviewed/Ok folder in the Monsido UI.

Accessibility Statements

How to add a custom Accessibility Statement to your website.

  1. Click Settings (the gear icon) at the top of the Monsido Domain Overview page. The Admin Settings page opens.

    Note: The Settings button is only available to site admins.

  2. Click Action on the same row as a domain to scan.

  3. Select Script Setup Guide in the drop-down list.

  4. Click Add PageAssist script to turn it ON.

  5. Click the link to Open PageAssist script settings. The PageAssist script settings pane opens.

    Note: PageAssist™ should be active. If the switch is not visible, refer to the User Guide for instructions.

  6. Fill in the information that the prompt requires.

  7. Include Accessibility Statement: Find the Include Accessibility Statement toggle and set it to ON.

  8. The section expands to include a URL field. Enter the URL to the company accessibility statement.

  9. Save the settings and copy/paste the code into the website HTML body.

Accessibility Diagnostics

This section of the Accessibility dashboard shows the percentage of the site that is compliant with the accessibility level set up for your website, as well as the industry-wide average compliance score.

Compliance Score

This figure shows the percentage of the website that is compliant with the target compliance level, as selected during scan setup.

Industry Average

This figure shows the industry-wide average of accessibility compliance. The results appear in the Accessibility Diagnostics section.

  1. Click Accessibility (icon of a human with arms outstretched) on the Monsido dashboard toolbar. The Accessibility dashboard opens.

The Industry Average score is in the Accessibility Diagnostics section.

Accessibility Content

This section gives information on how to navigate and edit website accessibility content.

  1. Click Accessibility (icon of a human with arms outstretched) on the Monsido dashboard toolbar. The Accessibility dashboard opens.

    Note: The Accessibility landing page shows the selected level of compliance and the WCAG compliance for all of the lower levels. In the example above, WCAG 2.1 AA compliance is selected. The scan results show the WCAG 2.1 AA and WCAG 2.1 A compliance results.


Summary (Default view)

Select this option from the menu on the left-hand side of the page. This page gives an overview of the Accessibility scan results:

  • Level A Compliance: Level A Compliance: This section shows the total number of checks, the total number that is done, and the total number that are not repaired. It also shows the historical results from the last 5 scans and a percentage of compliance.

  • Level AA Compliance: This section shows the total number of checks, the total number of repaired issues, and the total number of issues that are not repaired. It also shows the historical results from the last 5 scans and a percentage of compliance.

  • Accessibility checks compliance by level: This section shows the total number of completed checks at each level and those checks where repair is necessary.

  • Accessibility Diagnostics: This section shows the percentage level of compliance and the website industry average for accessibility issues.

    • Click Showing All on the top right of the section to filter for:

      • Show All

      • Only Errors

      • Errors and Warnings (recommended).

      • Accessibility Compliance: This figure shows the percentage of accessibility issues that your website has met the compliance criteria for. The goal is 100% compliance within the accessibility level selected.

      • Industry Average: This graph gives information about how your website compliance score compares with the average of competitors in your industry.

      • Timeline: The graph shows the total number of quality assurance issues and the total number of pages that have issues over time.

      • Show History: Click this button to see the results from all scans. This information is given below in a separate section. See the History section of this document for more information.

  • PDF Compliance Status: This pane shows an overview of PDF accessibility scan results and the total number of reviewed or pending files.


Fast Track

Select this option from the menu on the left-hand side of the page. Fix, review, and ignore HTML snippets in bulk.

Pages with Failing Checks

Select this option from the menu on the left-hand side of the page. The list shows the URLs for pages that have accessibility issues.

It is possible to filter the list or sort for labels.

Sort between:

  • All Levels

  • Level A

  • Level AA

  • Level AAA.

The table column headers are:

  • Title and URL: This column shows the page title and the URL. Click the link to navigate to the detailed scan results for the page.

  • Labels: This column shows the labels for the domain.

  • Failing Checks: This column shows the number of Accessibility checks that failed the check on the page. Click the number to see details about the failed checks.

  • Page Compliance: This column shows the percentage of the page that is compliant with the selected accessibility level. The page compliance is also shown in a donut chart format.

  • Priority: This column shows the level of priority that the page has. High, Medium, or Low.

  • Views: This column shows the number of views that the page had since the last scan.

  • Open Page Details (the page icon): On the same row as a page with failing checks, click to open the page details.

  • The Page Details page opens. This page shows accessibility checks with issues and the percentage of compliance for the webpage.

  • Depending upon the level of compliance that is selected, the following information is shown:

    • Filter (the filter icon): Click the button to filter the list for:

      • Labels

      • Languages

      • Accessibility Level

      • Accessibility Error Type.

    • The issues are listed on the left side of the page. Click on an issue to see the details about the issue and suggestions for how to fix it. Use the Accessibility Help Center button (graduation cap icon) to navigate to the Accessibility Help Center and read more about the error and how to fix it.

    • Fix the issue from the right-hand side of the page with these choices:

      • Review All Issues: Use this option to mark all issues Reviewed.

      • Ignore Check: Use this option:

        • If the issue is incorrectly marked as broken

        • To ignore issues on a single-page basis

        • To ignore all other issues on a domain level.

      • Mark as fixed: Use this option when the issue is fixed on the website. Items that are marked as fixed are included in future scans.

        Note: The difference between Mark as Fixed and Ignore Check is that issues that you mark as Fixed are still included in future scans and can be flagged again if the error comes back. Issues that you mark as Ignore are permanently removed from future scans and all compliance scores.

      • Open Issue Page: (an i for information icon) on the same row as an issue.

  • Redirect to Page (magnifying glass icon): Click to navigate to the page URL and view the page as an external visitor.

Checklist (insect icon)

Select this option from the menu on the left side of the page. This page shows a list of all checks that are done for the selected category.

Select the compliance level to filter for on the Accessibility Checklist page:

  • Level A

  • Level AA

  • Level AAA

  • Ignored

  • Passed.

Filter the list for:

  • Responsibility

  • Labels

  • Accessibility Error Type.

The results are shown in a table with the following headers:

  • Check: This column shows the name and description of the check that is done.

  • Responsibility: This column shows the designated team or teams that are normally responsible for fixing this type of error. This column is automatically filled in by Monsido. The areas of responsibility are:

    • UX Design

    • Front End Development

    • Content Authoring

    • Visual Design.

  • Related to Success Criteria: This column shows a list of the compliance success criteria category.

  • Help Center: Click to navigate to the Help Center to see the details about the issue and some suggestions on how to fix it.

  • Action Button: This column has a button. Click the button for more options:

    • Ignore this check: Issues that are set to Ignore are permanently omitted from future scans and compliance scores.

  • Domain Compliance: This column shows the percentage of compliance on this domain.

  • Pages: This column lists the number of pages that have the error. Click to navigate to the error page to view:

    • The URL for all of the pages where the error occurs.

    • Suggestions on how to fix the errors.

    • Information about the designated team or competence that is needed to fix this type of error.


Guidelines

Select this option from the menu on the left side of the page. This page is a list of the most basic WCAG guidelines. The Monsido scan finds issues that do not meet the requirements.

  • Name and category of the guideline

  • Error: This column shows the errors from the most recent scan. Click the bug icon. The List of Accessibility Issues page opens. The issues are shown in a table format. The columns are:

    • Title and URL: This column shows a list of the page title and URL where the error is. Click the link to navigate to the detailed scan results for the page.

    • Labels: This column shows the labels for the domain.

    • Priority: This column shows the level of priority that the page has. Priority is High, Medium, or Low.

      For more information, see the User Guide chapter:

    • Views: This column shows the number of views for the page since the last scan.

  • Each row has the additional options to:

    • Open page details (the page icon): Click to view the page dashboard. The Accessibility Page Details page opens. Depending upon the level of compliance that is selected, the following information is displayed.

      • The issues are listed on the left side of the page. Select an issue to view the details about the issue and some suggestions on how to fix it.

      • Fix the issue from the right side of the page.

    • Review All Issues

    • Ignore Check: Use this option:

      • If the issue is incorrectly marked as broken.

      • To ignore issues on a single-page basis.

      • To ignore all other issues on a domain level.

    • Redirect to Page (magnifying glass icon): Click to navigate to the page URL and view the page as an external visitor.

Pages with Ignored Checks

Select this option from the menu on the left side of the page. This page shows a list of the pages that contain ignored checks.

The column headers are:

  • Title and URL: Lists the page title and the URL. Click the link to navigate to the detailed scan results for the page.

    • Click a page link to navigate to the WCAG Accessibility Compliance detail view for the page.

      The list headers are:

    • Checks: Lists the WCAG compliance check, as well as the team that normally is responsible for fixing issues and the criteria identifier.

    • Individual issues: Shows the number of unique issues found with the check.

    • Click to select an issue. The pane on the right-hand side of the page updates to show actions that can be made to the issue.

    • Sort for:

      • Pending to view pending actions.

      • Ignored to view ignored issues.

    • Review all issues: Click to review all issues. A dialog opens. Fill in a free-text reason and then click OK.

    • Ignore check: Click to ignore the check. A dialog opens. Fill in a free-text reason and then click OK.

    • Mark check as fixed: Click to mark the check as fixed. A dialog opens. Click OK to mark the check as Fixed.

      Note: The difference between Mark as Fixed and Ignore is that issues marked as Fixed are still included in future scans and can be flagged again if the error persists. Issues that are set to Ignore are permanently omitted from future scans and compliance scores.

    • Unignore: Select the filter for Ignored Checks. Click on an issue in the list. The right side of the page updates. The options to handle the ignored check are:

      • Remove review for all issues: Click to review all issues for the check. A dialog opens. Fill in a free-text reason and then click OK.

      • Unignore check: Click to unignore an ignored check. A dialog opens. Fill in a free-text reason and then click OK.

      • Mark check as fixed: Click to mark the check as fixed. A dialog opens. Click OK to mark the check as Fixed.

  • Labels: This column shows the labels for the domain.

  • Ignored Checks: This column shows the total number of ignored checks.

  • Page Compliance: Percentage of compliance on the page.

  • Priority: This column shows the level of priority that the page has. High, Medium, or Low.

  • Views: The number of views that the page has.

Each row has the additional options to:

  • Open page details (the page icon): Click to view the page dashboard. The Accessibility Page Details window slides open. Depending upon the level of compliance that is selected, the following information is displayed:

    • The issues are listed on the left-hand side of the page.

      • Issue list: Click to highlight an issue. On the right side of the page, the details about the issue and some suggestions on how to fix it are shown.

      • Fix the issue from the right side of the page.

    • Review All Issues

    • Ignore Check: Use this option:

      • If the issue is incorrectly marked as broken.

      • To ignore issues on a single-page basis.

      • To ignore all other issues on a domain level.

  • Redirect to Page (magnifying glass icon): Click to navigate to the page URL and view the page as an external visitor.

PDFs

Select this option from the menu on the left side of the page.

The menu expands with the following choices:

  • Internal PDFs: Click to select this option.

    The Internal PDF Compliance page opens. This page shows the Internal PDF file accessibility compliance issues in a graph and a table.

    Sort the table for issues that are:

    • Pending

    • Reviewed/OK

    • Queued

    • Failed.

    The table menu items are:

    • Title: Lists the page title and the URL. Click the link to navigate to the detailed scan results for the page.

    • File Size: This shows the size of the PDF.

    • Pages: The number of pages that contain the link to this PDF.

    • Words: The number of words in the PDF.

    • Created: The date that the PDF was created.

    • Remediation Quote: Click to request a quote for PDF remediation from the external Monsido affiliate.

    • Action: Press and select one of the following options:

  • External PDFs: Click to select this option.

    Sort the table for issues that are:

    • Pending

    • Reviewed/OK.

    The table menu items are:

    • Title: Lists the page title and the URL. Click the link to navigate to the detailed scan results for the page.

    • Action: Press and select Review to mark the document as Reviewed.

Tools

Select this option from the menu on the left side of the page. Enter the color codes of the text and background that is used on your site to see if it meets the criteria for color contrast accessibility standards.

See the contrast ratio for foreground and background color, font size, and graphical elements. The page shows how well the PDF page meets GDPR standards.

Enter the background and foreground color in RGB, hexadecimal format - or pick a color using the color picker. You can also adjust the lightness level.

The tool gives a green PASS indicator if the color contrast is sufficient, or a FAIL indicator to let you know that the colors do not contrast enough to meet the criteria of the check.

Tip! The Monsido Color Contrast Checker web version is another quick way to test the color combinations on websites and pages, without logging in to Monsido. For instructions, see the Quick Guide: Check and Repair Color Contrast.


Unignore an issue

Click a page link and filter for the Ignored Checks detail view for the page.

Click to select an issue. The pane on the right-hand side of the page shows actions that can be made to the issue.

  • Click Pending to view pending actions.

  • Click Ignored to view ignored issues.

  • Click Unignore to remove the item from the list.

Undo a Review on an Issue

This section gives instructions on how to remove a reviewed issue. Do these steps in the Audit Log section.

This procedure is for issues marked as Reviewed in the Accessibility Fast Track® module or via the Page Details view. The Undo a Check Review option returns the issue to the errors view on the page and module where it occurs.

  1. Click Audit Log from the menu on the left side of the page.

  2. On the same row as a reviewed issue, click Action.

    The location of the Audit Log action menu.

  3. The Action menu expands with the following options:

    • Show Details

    • Undo Check Review.

  4. Select Undo Check Review.

The issue is gone from the audit log and returns to the errors view on the page and module where it occurs.

Important Notes

  1. If/when you change the accessibility level, the existing accessibility score scan information is erased and the new standard starts over from the beginning with the next scan. All of the history from the previous level is lost. It is advised to activate a new level only when you are ready to make the updates needed, or if it becomes a legal requirement for your location/organization.

  2. It is not recommended that Level AAA conformance be required as a general policy for entire sites because it is not possible to satisfy all Level AAA Success Criteria for some content.

  3. Level AA of WCAG 2.1 is the legal requirement to be considered accessible. WCAG 2.2 is newly released and will soon be the standard, taking over from WCAG 2.1.

  4. When you switch to a different guideline, the compliance score can show a sudden change. A dashed line on the graph shows when the update was done and indicates the old value vs. the new value of the compliance score. This appears on the first scan after the guideline update.

  5. The orange annotation appears on the compliance chart in the Accessibility module and the Accessibility section of the History Center.

Handle Accessibility Errors with the Web Browser Extension

Locate errors via the web browser extension.

  1. Open the website and activate the Monsido Extension. The extension toolbar opens.

  2. Click Content Issues (the insect icon).

    1. In the Accessibility section, in the same column as a failing check, click See Issues. The details pane slides open. Issues have an icon to indicate the type of issue.

      • Errors (insect icon)

        These are content issues such as HTML snippets that are not compliant. These issues can only be fixed with a change to the source code.

      • Warnings (bell icon)

        These issues need to be reviewed manually.

      • Reviews (eye icon)

        These issues cannot be tested by the software and therefore need to be reviewed manually.
        Note: When using Reviews, “Mark as Fixed” should only be used if the code snippet has been repaired on the HTML for the page. If it is not fixed properly, the line of code is re-flagged on the next scan. If it is not possible to repair the issue in the code, mark the issue as “Review” instead.

Accessibility Help Center

The Accessibility Help Center provides guidelines on WCAG 2.0 and some common 2.1 requirements.

To access the Accessibility Help Center from within the Monsido interface and be directed to the specific article that is relevant to an error:

  1. On the same row as an error, from the Check List page, the Page View, or the Accessibility Fast Track page, click Help Center (graduation cap icon).

History Center

The History Center stores all Accessibility issues and details from previous scans.

  • Click History Center (bar graph icon), located on the top menu bar of any page within Monsido.

    The page contains the following layout:

  • Domain: In the first field, click to expand the list of domains.

  • Click to select a domain from the list or switch to another domain.

  • Module: In the second field, click to expand the list of available modules.

  • Click to select Accessibility from the drop-down list. The Accessibility page of the History Center opens.

    • The topmost section gives information on the profile that is being used for the results shown.

      • Viewing as Profile: This shows the profile that is being used.

        For more information, see the User Guide section of the Performance Module instructions:

      • Device: The type of device used.

      • Measure from: Distance from the server location.

      • Network speed: The speed of the network.

      • Check frequency: The frequency of the check.

        Important: The Dashboard always shows data with the default profile selected. To change this, select a new profile (click the drop-down arrow to see the available profiles). Please be aware that changing the profile causes the numbers on all 3 sections inside the Performance module to update accordingly.

    • Graph with performance speed and date as well as a donut chart showing the average performance score.

    • Scan history results: This table shows valuable scan data from previous scans.

      • Crawled at: Date and time of scan.

      • Pages crawled: Number of pages scanned.

      • Domain compliance: Percentage of compliance achieved.

      • Comparison to average: The score of the website as compared with the average score within the industry.

      • Failing checks: The number of checks that do not pass the accessibility checks, broken down into category icons.

      • Issues: Total number of accessibility issues that need to be handled.

      • Changes since previous crawl: Percentage of changes made since the last scan.

Accessibility Reports

This section gives information about the different Accessibility reports that are available.

The available reports for the Accessibility module are:

  • Accessibility Summary Report

  • Accessibility Checks Report

  • Pages with Accessibility Issues Report

  • Classic Accessibility Report

  • Accessibility Guidelines Report

  • PDF Review Report.

  1. Click Schedule This Report (calendar icon) on the same row as the report to receive the report as an email attachment. Multiple selection is allowed.

  2. Click Open Report (eye icon) to get the newest report.

  3. Click Report Administration (gear icon) to add other users to receive the report.
